Business Process Automation in Montreal
Every small business has tasks that eat hours each week and add nothing: copying payment emails into a spreadsheet, forwarding web leads by hand, chasing the same reminder three times. Business process automation replaces those tasks with software that runs them for you, on schedule, without mistakes and with a record of what happened.
DaniMaster is a Montreal team that automates its own operations first. We run an AI automation stack for content, email, lead flow and data collection across several brands, and we build the same systems for small and mid-size businesses in Quebec and across Canada.
What we build
Automation is a broad term. In practice, we build a few specific kinds of systems.
- Workflow automation: multi-step processes that move work from one stage to the next: a quote request arrives, gets scored, is routed to the right person and triggers a follow-up if nobody responds.
- Robotic process automation (RPA): scripts that operate software the way a person would, filling forms, downloading reports and moving data between systems that have no API.
- Email and document processing: reading incoming mail, extracting amounts, dates and references, and matching them to your records.
- Lead and request filtering: scoring web submissions so real inquiries reach you and spam does not.
- AI-assisted steps: drafting replies and classifying documents, with a human approving before anything goes out.
We build on PHP, Node.js and Python and connect to Stripe, Odoo, ERPNext and most tools with an API. Where no API exists, RPA fills the gap.
How we work
Automating a broken process just produces errors faster. We start by understanding how the process really runs.
1. Discovery. We sit with the people who do the work, in Montreal or by video, and map each step, exception and handoff. 2. Design. We draw the target workflow and decide which steps a machine handles and which need a human decision. You approve this before any code. 3. Build. We develop in a test environment with copies of real data, so nothing touches live systems. 4. Test. We replay a month of past transactions and compare results with what your team did by hand. 5. Launch. We run the automation in parallel with the manual process for a short period, then switch over. 6. Support. Every automation logs what it did and alerts us when it fails. We review logs with you and adjust rules as real cases appear.
You get a process that runs itself, plus documentation.
Proof: automation that runs our own companies
The best evidence we can offer is the automation that runs our own companies every day.
FacilInvoice, our bilingual invoicing platform for Canadian freelancers and small businesses, reconciles Interac e-Transfer payments automatically. Each business gets a forwarding inbox. When a bank notification arrives, the system checks that it is authentic, extracts the amount and reference, matches it to an open invoice and marks it paid. Nobody reads payment emails by hand.
BizLocal, our Quebec and Canada business directory with about 49,000 listings, runs a quote-request funnel. Every request passes through a scoring filter that classifies it as real, test or spam, then routes legitimate requests to up to 10 matching businesses. Partner billing, referral fees and Odoo CRM sync happen without manual steps.
Across our brands, an AI automation stack handles content production, email sequences, social posting, web scraping and lead flow, with a person reviewing before anything is published.
That filter exists because we were tired of sorting junk ourselves.
What it costs and how long it takes
Costs depend on how many systems are involved, whether they have APIs and how many exceptions the process has. Typical ranges in Canadian dollars:
- Single automation, for example matching payment emails to invoices or routing web leads: $2,500 to $7,000, one to three weeks
- Multi-step workflow across three or more tools, with approvals and notifications: $7,000 to $20,000, three to eight weeks
- RPA for a system without an API, including maintenance when that system changes: $5,000 to $15,000 to build, plus a monthly support fee
- Department-level program with several connected workflows and reporting: $20,000 to $60,000 over three to six months
- Monitoring and support: $250 to $1,200 per month
Processes with many undocumented exceptions cost more, because each exception is a rule we must write. We quote a fixed price after discovery and we tell Montreal clients when a tool like n8n or Zapier is a better fit than custom code.
Why automate with a Montreal partner
Automation touches your most sensitive data: payments, client records, employee information.
Bilingual by default. We work in French and English. Automated emails, notifications and documents go out in the language your clients expect, and your team gets documentation they can read.
Law 25 built in. Quebec's privacy law requires that personal information be collected with consent, used for stated purposes and protected. Automations copy and transform data constantly, so each one must respect retention limits and access rules. We design for Law 25 from the first workflow diagram.
Canadian hosting on request. If your automation processes client data, we can run it on Canadian servers so the data does not leave the country.
Your working hours. We are in Montreal, in the Eastern time zone. When a nightly job fails, we see it the same morning you do.
Local context. We know Interac e-Transfer, Quebec tax rules and how Canadian banks format their notifications.
Who this is for
Business process automation makes sense when a task is frequent, rule-based and currently done by hand. Some common situations:
- A trades or service company in Montreal. Quote requests arrive by web form, phone and email. Automation scores, routes and acknowledges each request within a minute.
- A professional firm. Staff match hundreds of e-Transfer and card payments to invoices every month. A reconciliation workflow does it the moment the notification arrives and flags only the mismatches.
- A distributor. Supplier price lists arrive as PDFs and spreadsheets. A processing pipeline extracts the data and updates your catalogue.
- An agency or publisher. Content, social posts and email campaigns follow the same steps every week. An automation stack handles drafting, scheduling and reporting.
If a task is repetitive and follows rules, we can probably automate it. Start with a free 30-minute call and we will pick the process with the biggest time saving.

What is the difference between workflow automation and RPA?
Workflow automation connects systems through their APIs and moves work through defined stages. RPA drives software through its screens when a system has no API. We prefer APIs and use RPA only for the gaps, because screen-based automation breaks when a vendor redesigns its interface.
Will automation replace my staff?
It removes the parts of their day they like least: retyping, matching, forwarding and chasing. The people stay and handle exceptions, clients and judgment calls. We add a human review step wherever a mistake would be costly, so your team remains in control.
Can you automate a process that involves a government or bank portal?
Often, yes. Many Canadian portals have no API, so we use RPA to log in, download statements or submit forms on a schedule. We respect each site's terms of use and build in checks so a changed page layout stops the job rather than submitting bad data.
How do we know the automation is working correctly?
Every automation writes a log of what it did and why, and sends an alert when something fails or looks unusual. You get a simple dashboard or a daily summary email. In the first weeks we review results together against the manual process.
